The event brief and run-of-day.
A practical sequence for connecting an event’s purpose, guest journey and working responsibilities.
1. Define the gathering
Write why the event is happening and what guests should be able to take part in.
Record the people, scale and arrangements you actually know; keep estimates marked.
2. Walk the guest route
Follow arrival, gathering, main activity, transitions and departure in order.
Ask what information and facilities people need at each point.
3. Name the setup
Connect each moment to the room, materials and preparation it needs.
Confirm details with the actual venue and providers.
4. Assign the handovers
Record who prepares a transition, who gives a cue and who answers an operational question.
Keep responsibility clear without assuming one person controls every part.
5. Prepare alternatives
Identify arrangements that may need another version. Describe what changes for guests and organisers.
Treat an alternative as provisional until the responsible parties confirm it.
6. Review the communication
Separate pre-arrival information from on-the-day explanation. Keep both consistent with the confirmed plan.
When arrangements change, update the connected notes together.
7. Close the day
Include departure, belongings and provider collection in the working plan.
Keep the final version and agreed changes in a place the responsible people can access.
